These Terms & Conditions (“Terms”) govern access to and use of the Flow Pilot AI LLC (“Flow Pilot,” “we,” “us,” or “our”) website, demonstrations, and other publicly available online features. By accessing or using them, you agree to these Terms.

1. ABOUT FLOW PILOT AI

Flow Pilot provides AI-powered receptionist, communications, scheduling, workflow automation, integration, and related technology services for businesses.

These Terms govern public website and demonstration use. If you become a Flow Pilot client, your services are governed by the applicable executed agreement, Data Processing & Security Addendum, Service Order, and any other signed addendum. If these website Terms conflict with an executed client agreement regarding paid Services, the executed client agreement controls for those Services.

2. AI AND AUTOMATED SYSTEMS

Flow Pilot uses automated voice, language-model, speech-recognition, workflow, and related technologies.

AI systems are automated technology and are not human employees, emergency services, or professional advisers. AI and machine-learning outputs are probabilistic and may be incomplete, inaccurate, inconsistent, delayed, or inappropriate.

Users should independently verify information carrying material legal, financial, safety, medical, or other significant consequences. Do not rely on Flow Pilot AI for emergency assistance or professional advice.

3. WEBSITE DEMONSTRATIONS

Flow Pilot may provide interactive demonstrations of its AI receptionist and scheduling capabilities.

Demonstrations are provided for evaluation purposes. Information, appointments, scheduling actions, businesses, configurations, or other content shown or generated in a demonstration may be temporary or simulated unless expressly stated otherwise.

A demonstration does not create an appointment with an actual business, establish a client relationship, or constitute a guarantee that a production deployment will perform identically.

Do not submit confidential, sensitive, regulated, or unnecessary personal information through a demonstration.

4. ACCEPTABLE USE

You may not use the website, demonstrations, or Services to:

  • violate applicable law or the rights of another person;

  • interfere with, disrupt, damage, or compromise Flow Pilot systems;

  • attempt to gain unauthorized access to systems, accounts, credentials, or data;

  • reverse engineer, copy, extract, scrape, reproduce, or misuse protected Flow Pilot technology or materials except where applicable law expressly permits it;

  • transmit malicious code or conduct abusive, fraudulent, deceptive, or unlawful activity; or

  • use Flow Pilot technology in a manner reasonably likely to cause harm.

Flow Pilot may restrict or suspend access when reasonably necessary to address misuse, security threats, legal requirements, or material technical or operational risks.

5. INTELLECTUAL PROPERTY

Flow Pilot and its licensors retain all rights in Flow Pilot’s Services, AI systems, workflows, prompts and prompt structures, templates, system designs, configuration methods, documentation, integration logic, know-how, reusable components, improvements, website materials, branding, and other proprietary technology.

No ownership rights are transferred merely by accessing the website or using a demonstration.

Flow Pilot AI, its branding, and associated materials may not be copied or used without authorization except as permitted by applicable law.

6. THIRD-PARTY SERVICES

Flow Pilot may rely on independent third-party providers for AI models, voice technology, telecommunications, workflow automation, cloud services, hosting, calendars, email, messaging, and other integrated technology.

Third-party services may experience outages, delays, errors, API changes, restrictions, or other failures outside Flow Pilot’s reasonable control.

Flow Pilot does not guarantee the security, continuous availability, performance, or functionality of third-party platforms.

7. COMMERCIAL SERVICES AND BILLING

Website information about pricing, features, included usage, installation, or service capabilities is general information about currently offered services and does not replace an executed client agreement.

For clients, applicable prices, installation charges, subscriptions, included usage, overages, billing cycles, payment terms, and other commercial terms are established by the applicable Service Order or other executed agreement.

8. PRIVACY AND DATA

Use of this website is also subject to Flow Pilot’s Privacy Policy.

Where Flow Pilot processes personal data on behalf of a client in connection with paid Services, the applicable executed client agreement and Data Processing & Security Addendum govern that processing.

Users are responsible for ensuring that information they provide to Flow Pilot is submitted lawfully and that they possess any necessary rights or permissions.

9. SECURITY

Flow Pilot uses reasonable administrative and technical safeguards for systems, credentials, and configurations under its control, taking into account the nature of the applicable services and information.

No internet-connected, cloud-based, or AI system can be guaranteed completely secure, uninterrupted, or error-free.

10. DISCLAIMER OF WARRANTIES

To the maximum extent permitted by law, the website and publicly available demonstrations are provided “as is” and “as available.”

Flow Pilot does not warrant that they will be uninterrupted, error-free, completely accurate, secure, or suitable for any particular purpose.

No service level, performance guarantee, business result, revenue increase, appointment volume, conversion rate, cost savings, or other outcome is promised by website content or demonstrations unless expressly stated in an executed agreement.

11. LIMITATION OF LIABILITY

To the maximum extent permitted by law, Flow Pilot will not be liable for indirect, incidental, special, exemplary, punitive, or consequential damages, or for lost profits, revenue, opportunities, anticipated savings, goodwill, or business interruption arising from or relating to use of the website or publicly available demonstrations.

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited.

Liability arising from paid client Services is governed by the applicable executed client agreement rather than this website provision.

12. TERMINATION OR RESTRICTION OF ACCESS

Flow Pilot may restrict or terminate access to the website or demonstrations when reasonably necessary because of unlawful or unauthorized use, abuse, security threats, legal or regulatory requirements, third-party provider restrictions, or material technical or operational risk.

13. CHANGES TO THESE TERMS

Flow Pilot may update these Terms as its website, demonstrations, business, or legal requirements change.

The current version will be posted on this page with its effective or last-updated date. Continued use after updated Terms become effective constitutes acceptance of the revised Terms to the extent permitted by applicable law.

14. GOVERNING LAW

These Terms are governed by the laws of the State of Delaware, without regard to conflict-of-laws principles.

To the extent permitted by law, disputes arising from these Terms or use of the website or publicly available demonstrations will be subject to the exclusive jurisdiction of the state and federal courts located in Delaware.

15. SEVERABILITY

If any provision of these Terms is determined to be invalid or unenforceable, it will be limited or severed to the minimum extent necessary, and the remaining provisions will remain in effect.
